Index Hosting Ltd is a registered Ugandan web hosting and domain company committed to protecting your personal data and ensuring transparency in how we handle your information. This Privacy Policy applies to all our services, including our website, client portal, billing system, domains, hosting, support platforms, and all related systems (“Services”).

We comply with:

      • Uganda Data Protection and Privacy Act, 2019

      • East African Community (EAC) ICT & Privacy Guidelines

      • Relevant international standards (GDPR, CCPA/CPRA, LGPD) where applicable.

Index Hosting Ltd (“we,” “our,” “us”) is fully committed to protecting your privacy and maintaining high security and accountability in all areas of data processing.

1. Information We Collect

a) Personal Information

We may collect the following when you create an account or use our services:

      • Full name

      • Email address

      • Phone number

      • Billing information

      • Business/company details

      • Account login credentials

b) Technical Information

Automatically collected data includes:

      • IP address

      • Device and browser information

      • Operating system

      • Access logs, error logs

      • Client portal and system usage data

c) Payment Information

We use secure third-party payment processors; Index Hosting does not store full card details.

2. How We Use Your Information

Your data is used to:

      • Create and manage your account

      • Process orders, billing, and renewals

      • Deliver hosting, email, and domain services

      • Detect abuse, security threats, and unauthorized access

      • Improve performance and customer experience

      • Provide support and technical assistance

      • Send essential service notifications (e.g., invoicing, expiry, security alerts)

Marketing communication is only sent with your clear consent.

3. Security, Monitoring & Data Breach Notification

We maintain continuous security monitoring, including analysis of server logs, login attempts, email activity, and resource usage to detect malware, fraudulent activity, or unauthorized access. If a breach occurs that affects your personal data, Index Hosting will promptly notify affected users and, where required, the Personal Data Protection Office (PDPO). Our incident response follows Ugandan law and international best practices.

4. Backups, Data Responsibility & Service Limitations

Certain hosting plans include automated backups; however, customers are strongly advised to maintain their own off-site backups unless their plan specifically guarantees backup availability. Index Hosting is not responsible for data loss caused by user actions, account suspension, termination, or circumstances beyond our control. After account cancellation or expiry, all data may be permanently removed following the applicable grace period.

5. Acceptable Use, Illegal Content & Compliance

Customers are solely responsible for all data and content hosted on their accounts. Hosting illegal, harmful, abusive, or prohibited content is strictly forbidden. Index Hosting may suspend or terminate accounts violating these rules in compliance with Ugandan law, ICANN regulations, or international cybersecurity standards.
We only release customer data to government authorities following valid, lawful, and documented requests.

6. Third-Party Services

We work with trusted third parties such as:

      • SSL certificate authorities

      • CDN providers

      • Antivirus/malware scanners

      • Payment processors

      • Analytics and DNS partners

These partners access only the data required to deliver their specific service.

7. Cookies & Tracking Technologies

We use cookies to:

      • Improve functionality

      • Provide secure login sessions

      • Analyze website performance

Users may disable cookies in their browser, but some features may not function correctly.

8. Data Retention & Account Termination

Index Hosting Ltd retains personal data only as long as necessary for service provision, legal obligations, fraud prevention, or dispute resolution. Billing records are kept for the account lifetime plus 7 years (per URA requirements), support tickets and files for up to 3 years, server logs for up to 12 months, and domain ownership data as long as the domain is active. When a hosting account is terminated or expires, all associated files, emails, databases, and backups may be permanently deleted after the applicable grace period, unless legally required to retain them. Customers remain responsible for maintaining independent backups of their data unless specifically included in their hosting plan.

9. International Data Transfers & Third-Party Disclosure

Your data may be processed and stored in Uganda or other countries, including the USA and EU, depending on the services and associated global infrastructure. All transfers are protected with strong encryption and strict access controls. Index Hosting may share your data with trusted third-party partners only as needed to deliver services, including domain registries (ICANN), payment processors, CDN providers, hosting and server partners, malware/security scanners, and analytics platforms. No personal information is sold or shared for marketing purposes without your explicit consent.

10. Complaints & Data Protection Rights

If you believe your privacy rights have been violated or mishandled, you may first contact Index Hosting at privacy@indexhosting.net

or through our support channels. We will review and respond to complaints promptly. If unresolved, users may escalate the matter to the Personal Data Protection Office (PDPO), NITA-U, Palm Courts Building, Plot 7A Rotary Avenue, Kampala.
Additionally, under Ugandan law and EAC guidelines, you have the right to access, correct, delete, or restrict processing of your personal data and to withdraw consent where applicable.

11. Children’s Privacy

Our services are not intended for individuals under 18 years of age. We do not knowingly collect data from minors.

12. Changes to This Policy

We may update this policy periodically. Revised versions will be posted on our website with a new “Last Updated” date. Continued use indicates acceptance of the updated policy.
